INVITATION TO TENDER FOR THE PROVISION OF TRANSPORTATION SERVICES, FOR FIBA EUROBASKET 2025, LIMASSOL GROUP

Introduction and Overview

 

Cyprus Basketball Federation (CBF), the governing body of basketball in Cyprus, has been selected by FIBA to host and organize a group of the FIBA EuroBasket 2025 in Limassol. CBF EuroBasket 2025 Ltd, a subsidiary of CBF and an LTD company, has been delegated the right to organize FIBA EuroBasket 2025.

 

The tournament is a European national teams' competition, organized every 4 years in different European countries. For 2025, besides Cyprus, Finland, Poland, and Latvia will also host the competition. The Limassol group will be hosted from 28th of August 2025 until 5th of September 2025. Six national teams will participate, including the Cyprus national team, with 15 games played over 5 game days. Around 80,000 fans are expected to attend live, with millions more watching worldwide on TV.

 

Requirements

 

CBF EuroBasket 2025 is currently reviewing candidates for the Provision of Transportation Services, specifically buses and vans, Tender Reference: [CBF25/2024/004], to provide efficient and reliable transportation for athletes, officials, VIPs, and support staff throughout the event.

 

Scope of Work

 

The selected transportation provider will be responsible for -

 

Fleet Availability - Providing buses and vans suitable for transporting large groups and small teams respectively, ensuring all vehicles are in excellent working condition.

 

Scheduling and Routing - Managing schedules and routes to ensure timely and efficient transportation of all personnel to various venues and accommodations.

 

Driver Qualifications - Ensuring that all drivers are fully licensed, trained, and experienced in handling high-profile events, English speakers

 

Vehicle Maintenance and Safety - Maintaining vehicles in excellent condition and complying with all safety regulations.

 

Tender Requirements

 

Interested parties must demonstrate the following as part of their proposal:

 

Company Profile and Experience -

Introduction to your company and the team planned to work on the project.

Case studies of previous experience in event-based transportation, especially in sports environments.

 

Fleet Details -

Buses should me modern 54 seaters

Mini vans should be modern 20 seaters

Description and photos of buses and vans to be used, including their capacities.

 

Logistics and Coordination -

Proposed plans for scheduling, routing, and coordination of transport services.

Reference to Annex 1 for details on specific transportation specifications.

 

Teams' buses branding –

·      The buses should be branded according to Annex 2, one month before the competition. The branding will be removed, following the completion of the competition.

 

·      CBF EuroBasket 2025, will assign a professional branding company and will bear the branding cost.

 

·      Provider should calculate the days of branding and removing in the schedule

 

Driver Standards -

Information on driver qualifications, training, and background checks.

 

Safety and Compliance -

Policies on vehicle maintenance and safety checks.

 

Pricing -

Detailed pricing structure, including fees for additional services if required

 

Pricing structure – please provide two options for pricing; one will based as a 'daily quote', the second will be calculated per ride, all details will be finalized later

 

Payment terms

 

In case of practice cancelation, the relevant amount per ride, should be deducted

 

Environmental Considerations -

Strategies for reducing environmental impact, such as the use of fuel-efficient or electric vehicles.
